ChartGone AI (“ChartGone,” “we,” “us”) provides software that helps physical, occupational, and speech therapy clinicians dictate, format, and file clinical documentation. Information we collect
- Account information — your name, email address, mobile phone number, employer/agency, and clinical discipline, provided when you register or update your settings.
- Clinical content — the notes, dictation, patient records, and scheduling information you create or upload in order to use the service.
- Usage and device data — log data, IP address, and basic device/browser information generated when you use the app.
How we use information
We use your information to operate and improve the service: to authenticate you, generate and file documentation on your behalf, optimize routes and schedules, provide support, send you service-related notifications, and meet our legal and security obligations. We do not sell your personal information.
SMS / text-message notifications
If you provide your mobile number and enable text-message alerts in Settings, we send you transactional SMS about the status of clinical notes you created (for example, when a note is filed or returned for revision). Enabling SMS is optional and off by default; you choose it from inside your account, and you can turn it off at any time in Settings or by replying STOP to any message. Message frequency varies with your activity. Message and data rates may apply.
We do not share your mobile information, or your consent to receive text messages, with third parties or affiliates for marketing or promotional purposes. Mobile information is used solely to deliver the notifications you requested. We may share it only with the messaging carriers and service providers strictly necessary to transmit those messages on our behalf.
Protected health information
Clinical content may include protected health information (PHI). We handle PHI only to provide the service and in accordance with our agreements with the covered entities and clinicians we serve. We deliberately exclude PHI from SMS notifications — text messages identify only the note type and a link back into the app, where any patient information remains behind authentication.
Data retention & security
We retain information for as long as your account is active or as needed to provide the service and meet legal obligations. We use administrative, technical, and physical safeguards designed to protect your information, though no method of transmission or storage is completely secure.
Your choices
You can review and update your account information, notification preferences, and phone number in Settings at any time. To request access to or deletion of your data, or to ask how we handle your information, contact hello@chartgoneai.com.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by the “Last updated” date above and, where appropriate, communicated to you directly.
